About the Role
We’re looking for an Executive Operations Partner to work closely with HOBB leadership across Marketplace, Origins, and Atlas.
This is more than a traditional executive assistant role.
You’ll operate as a strategic force multiplier for leadership — bringing structure, clarity, coordination, and operational leverage across a fast-moving startup environment. You’ll help keep priorities aligned, communication flowing, initiatives moving, and the organization operating at a high level of execution.
You will manage executive operations, scheduling, communications, travel, project coordination, culture initiatives, and cross-functional alignment while helping build the operational systems that support HOBB’s growth.
This role is ideal for someone who thrives in ambiguity, anticipates needs before they arise, and enjoys building order inside mission-driven, high-growth environments.
What You’ll Do
Executive Partnership
Serve as a trusted operational partner to leadership by managing calendars, communications, priorities, and day-to-day coordination across multiple business initiatives.
Calendar + Strategic Schedule Management
Own complex scheduling across leadership, partners, suppliers, retailers, investors, and cross-functional teams. Protect leadership bandwidth while ensuring critical priorities move forward.
Cross-Functional Coordination
Help synchronize initiatives across:
- Marketplace operations
- Supplier onboarding
- Retail partnerships
- Origins storytelling projects
- Atlas infrastructure initiatives
- Investor and strategic partner communications
Inbox + Communication Management
Manage high-volume communications with professionalism, discretion, and responsiveness. Draft communications, coordinate follow-ups, and maintain momentum across ongoing initiatives.
Travel + Event Coordination
Coordinate travel, offsites, trade shows, supplier visits, retail tours, community activations, and leadership meetings with strong attention to detail and execution.
Operational Systems
Build and refine systems for:
- Meeting preparation
- Follow-up tracking
- Leadership workflows
- Internal communication
- Documentation
- Priority management
- Project coordination
Culture + Team Experience
Support the development of HOBB’s internal culture by helping organize team rituals, collaborative working sessions, milestone celebrations, and mission-driven community engagement.
Special Projects
Take ownership of ad hoc operational initiatives that improve execution speed, organizational clarity, and strategic alignment as HOBB scales.
What You’ll Need
- 4–8+ years supporting founders, executives, operators, or leadership teams in high-growth environments
- Exceptional organizational and communication skills
- Strong judgment and ability to manage confidential information with discretion
- Ability to prioritize across multiple moving initiatives simultaneously
- Comfort operating independently with minimal oversight
- Experience managing complex calendars, travel, and executive operations
- Strong written communication and stakeholder coordination skills
- Ability to create systems and structure in ambiguous environments
- Proficiency with:
- Google Workspace
- Slack
- Notion
- Zoom
- Airtable or similar tools
Bonus
- Startup or venture-backed company experience
- Experience in food, retail, logistics, media, or commerce industries
- Experience supporting founders directly
- Project management or operations background

- Create more scalable workflows for communication, scheduling, and project tracking
- Improve cross-functional coordination across Marketplace, Origins, and Atlas
- Support leadership planning for strategic initiatives, partnerships, and growth priorities
- Begin independently managing operational logistics and special projects
In Your First 90 Days
- Operate as a true strategic extension of leadership
- Protect executive bandwidth while increasing organizational clarity and execution speed
- Become a central coordination hub across teams, initiatives, and external stakeholders
- Help build the operational foundation supporting HOBB’s next stage of growth
